How to automate your Amazon invoices with Billbee

1. Set up a custom layout
Before you get started, go to Settings to upload your logo, enter your company information, and select your preferred font. Once you've set these up, Billbee will automatically use this template for all future invoices.
2. Automate Invoicing
In Billbee, automations always run based on rules. So, to have your invoices generated automatically from now on, you’ll need to create a custom rule for this. Simply create it under “Automation” in the “Rules” tab. Here, set the trigger to “Order imported” and the action to “Create order document” with “Invoice” as the document type. This way, the system knows exactly when to create an invoice.
3. Automate Invoice Processing
Step 2 ensures that your invoices are generated automatically, but it does not yet ensure that they are sent to your customers automatically. To do this, first create a custom notification message. To do so, go to the “Automation” section under “Email Templates,” create a custom message, and save the template.
Next, create a second rule for automatically sending your invoices. A rule like this is already set up by default in your Billbee account. However, you can still customize it—for example, by linking the notification text you created earlier and specifying a BCC email address that receives all sent invoices.

What should be included on my Amazon invoices?
For legal compliance in Germany, your invoices must contain the following information:
- Full names and addresses of you and the customer
- Your tax number or VAT identification number (VAT ID)
- A sequential invoice numbering system
- The invoice date and the date of service (delivery date)
- A detailed breakdown of the products (quantity and type)
For sales to business customers the customer's VAT ID must be on the invoice.
For small businesses: If you qualify as a small business under § 19 UStG, you are not permitted to charge VAT and must include a note on the tax exemption.
Can I also create invoices directly through Amazon?
Yes, with Amazon's VAT Calculation Service (VCS), you can also create invoices directly through Amazon. This is particularly worthwhile for getting started. However, as soon as you sell on other marketplaces or in your own online shop, an external invoicing tool like Billbee makes sense. If you create your invoices via Billbee, you can also customize them and prepare them directly for your accounting.
How long does the setup take?
First, connect your Amazon Seller account with Billbee. Thanks to the official Amazon interface, this is very easy and usually takes only a few minutes. After that, you can automate your invoices. This usually takes maximum of one hour and is easily done in three steps:
- Layout: Enter your logo and company details in the layout editor.
- Automatic Invoice Creation: Create a simple rule that states: "When an order is imported from Amazon, automatically create an invoice."
- Automatic Dispatch and Upload: With additional rules, you control the automatic upload to Amazon and email dispatch to your customers. These rules are already available as templates in the system and only need to be activated and customized.
Can I also create cancellation invoices and credit notes?
Yes, if an order is cancelled or a return is initiated, you can directly generate a correction document (cancellation invoice) in Billbee. Since Billbee knows the original invoice number, the credit note is correctly referenced. This is essential for legally compliant accounting, so that your tax advisor can clearly assign each credit note to an invoice. You decide whether the returned goods are automatically added back to your available stock in Billbee.
Can I also create invoices for international Amazon sales with Billbee?
Yes, Billbee automatically recognizes which tax rate (e.g., 19% Germany, 21% Spain) needs to be applied based on the delivery country and your stored tax numbers. This ensures that your invoices are always correct, even for cross-border sales.
What does Billbee cost for Amazon sellers?
